For your hiring team

Everything a recruiter, admin or hiring manager does inside a workspace.

01Set up your workspace

A few minutes of setup before you start hiring.

  1. 1Open Settings from the sidebar.
  2. 2Under Company profile, upload your logo and set your company name, work email, website, industry and country — these appear across your workspace and public career site.
  3. 3Click Save changes.
  4. 4Go to Team, invite colleagues by email, and give each a role — Company Admin, Recruitment Manager, Recruiter, Hiring Manager or Interviewer. Each role sees and can do different things.

02Create & post a job

  1. 1Go to Jobs and click Create Job.
  2. 2On the Job Details tab, enter the title, department, location, job type and salary range, and optionally assign a hiring manager and recruiter.
  3. 3Switch to the Description & Requirements tab and fill in the description, requirements and benefits.
  4. 4Set the Status — Draft keeps it private, Open makes it live.
  5. 5Click Create Job.

Tip: To collect applicants, publish the role to your career site (next section).

03Publish your career site & application form

  1. 1Go to Career Site and edit your hero, about section and branding.
  2. 2Make sure each role you want public has status Open and is published.
  3. 3Your public page is live at /careers/your-workspace (or your own domain).
  4. 4Candidates apply there — the form asks for name, email and phone (with an international country-code picker), plus an optional résumé upload.
  5. 5Every submission lands automatically in your Applicants inbox.

04Review & triage applicants

  1. 1Open Applicants and use the job, status and date filters to focus.
  2. 2Click an applicant's name to open their full profile.
  3. 3In the Résumé column, click View to open or download their CV.
  4. 4Click the green WhatsApp button to message them instantly (when they've provided a phone number).
  5. 5Change their status inline — In review → Shortlisted → Interviewing → … — as you progress them.

05Manage your candidates

  1. 1Go to Candidates for a sortable table with Total / Active / Hired / New-this-month stats.
  2. 2Filter by stage, source, date or month to find people fast.
  3. 3Click Add Candidate to add someone manually — fill the Basic Info, Details and Notes tabs, then Save.
  4. 4Click Import CSV to bring in a list in bulk, mapping columns to Kyndle fields.

06Move candidates & spot bottlenecks

  1. 1Open Pipeline for a Kanban board of every candidate by stage.
  2. 2Drag a card from one stage to the next to advance a candidate.
  3. 3Each column shows its candidate count, conversion rate and average days in stage.
  4. 4Watch the Stuck flags — they mark candidates who've stalled past a stage's threshold, so you can re-engage or advance them.

07Find the best candidates for a role

  1. 1Go to Talent Matching and pick an open role.
  2. 2Kyndle ranks your talent pool against that role by skills fit, with a match % for each candidate.
  3. 3Use Schedule to set up an interview, or Profile to open their record.

08Schedule interviews (with video links)

  1. 1Go to Interviews and click Schedule interview.
  2. 2Choose the candidate, job, interview type, date/time and duration.
  3. 3Under Video meeting, pick a connected provider (Google Meet, Microsoft Teams or Zoom) to auto-create a meeting link in your own account — or paste a link manually.
  4. 4Click Schedule — the link is saved on the interview and shown to everyone involved.
  5. 5After the interview, open it and submit your scorecard: rating, recommendation and notes.

Tip: To auto-generate links, connect a provider first in Settings → Video interviews.

09Create, send & e-sign offers

  1. 1Go to Offers and click New offer.
  2. 2Enter the compensation, terms and benefits.
  3. 3Click View letter to preview the branded offer letter (your logo, formatted terms, signature blocks) — or Print / Save as PDF.
  4. 4Send it for approval, or straight to the candidate.
  5. 5Click Email to candidate to send the letter from your workspace address.
  6. 6The candidate reviews and e-signs; accepted offers can flow into onboarding.

10Email candidates from your own inbox

  1. 1Go to Settings → Your mailbox.
  2. 2Click Connect Gmail or Connect Outlook and authorize your account.
  3. 3Now 1:1 emails to candidates send from your own address and land in your Sent folder.
  4. 4On a candidate's page, use the conversation panel to email them, and click Sync replies to pull their responses back into the thread.

Tip: Connecting one mailbox replaces the other — you send from a single address per workspace.

11Send from your company domain

  1. 1Go to Settings → Candidate email domain and click Add domain.
  2. 2Add the shown DNS records (SPF / DKIM) at your domain registrar.
  3. 3Click Verify. Once verified, set the from-address you want to send as (e.g. careers@yourcompany.com).
  4. 4System emails (offers, outreach) now come from your company's address instead of Kyndle Hire's.

12See what to do next (AI Insights)

  1. 1Open AI Insights for a plain-language read-back of your hiring.
  2. 2Review the executive summary, then the recommended actions ranked by priority.
  3. 3Jump straight to the stuck candidates or the bottleneck stage it highlights.

13Ask the in-app assistant

  1. 1Click the Ask Kyndle button in the bottom-right of any workspace page.
  2. 2Type any question — “How do I create a job?”, “How many offers are out?” — for step-by-step guidance or a live answer about your own data.
  3. 3Tap a suggested follow-up chip, or the Go to… button to jump to the right screen.

14Back up & restore your data

  1. 1Go to Settings → Backup & restore.
  2. 2Click Download backup to save a single JSON file with all your jobs, candidates, applications, interviews, offers and more.
  3. 3To restore, click Restore backup and choose a backup file — deleted records are re-created with their original IDs, and existing data is never overwritten.

Tip: For full disaster recovery, your platform administrator also keeps automated database backups.

01Allocate features to each tenant

  1. 1In the Platform admin area, open Companies and select a tenant.
  2. 2In the Features card, toggle which optional modules that tenant sees (e.g. turn off Zoom, AI Insights or Backup for a smaller customer).
  3. 3Click Save features. Core modules — Jobs, Candidates, Pipeline, Team, Settings — are always on.
  4. 4The tenant's workspace updates immediately: disabled modules disappear from their sidebar and settings.

02Connect the integration apps (one-time)

You register these OAuth apps once. Each recruiter then connects their own account with a click — no keys required on their side.

  1. 1Mailbox: create a Google Cloud OAuth client and a Microsoft Entra app; set GOOGLE_CLIENT_ID/SECRET and MICROSOFT_CLIENT_ID/SECRET. Redirect URIs end in /api/mailbox/{google|microsoft}/callback.
  2. 2Video: reuse the same Google/Microsoft apps (add the Calendar and OnlineMeetings scopes plus /api/conferencing/… redirect URIs) and register a Zoom app (ZOOM_CLIENT_ID/SECRET).
  3. 3Email domain: connect your email service provider (Resend) API key so tenants can verify their own sending domains.
  4. 4Once configured, the Connect buttons light up in each tenant's Settings.

Tip: To serve external organizations, publish/verify each app — Google app verification, a multi-tenant Microsoft app, and a published Zoom Marketplace app.

03Protect all tenant data

  1. 1Enable Supabase Pro backups for automatic daily database backups covering every tenant, and add Point-in-Time Recovery for second-level restore.
  2. 2Enable Storage backups so uploaded résumés and documents are protected alongside the database.
  3. 3Encourage tenants to keep their own periodic downloads from Settings → Backup & restore as a secondary copy.
